This procedure explains how complaints are handled.
If you have any concerns about how we collect, use, store or otherwise process your personal information, you have the right to raise a data protection complaint with us.
Complaints may be submitted by email using the contact details below:
Data Protection Team
Jim Harris, Managing Director, The Property Experts
We will acknowledge receipt of your complaint within 30 calendar days.
Your complaint will be investigated promptly, fairly and without undue delay. We may contact you if we require further information to assist with our investigation.
We will inform you of the outcome of our investigation as soon as reasonably practicable and will explain any action we have taken or propose to take.
We maintain records of all data protection complaints, investigations, decisions and any remedial action taken to help us improve our processes and comply with our legal obligations.
If you remain dissatisfied with our response, you have the right to lodge a complaint with the Information Commissioner's Office (ICO).
Complaints involving service standards should use the following procedure. We are committed to providing a professional service to all our clients and customers. When something goes wrong, we need you to tell us about it. This will help us to improve our standards.
The Property Ombudsman will request that you have exhausted the internal complaints procedure before contacting them and waiting a minimum of 8 weeks to allow us to respond to your complaint.
Contact with The Property Ombudsman must be within 12 months of receiving of the incident you are complaining about.
When you have raised a complaint with The Property Ombudsman (TPO) they will write to the Property Expert requesting the Property File and our version of the events. A case officer will then undertake a formal review of your complaint largely based on the documents from both sides.
